How is a Team plan different from just adding seats on a Solo plan?+
Solo plans are single-seat architectures — the pipeline, sequences, and dashboards are built around one recruiter seeing their own work. Team plans add shared pipeline access, role-based permissions, manager dashboards, recruiter scorecards, team-level reporting, and coordination features that don’t exist in Solo tiers. They are a different product layer on the same platform, not just a bigger Solo plan.
Can recruiters see each other’s candidates, or is it siloed?+
Both configurations are supported. You can share a full pipeline where any recruiter can see and work any candidate. You can also configure access so each recruiter sees only their own candidates and jobs, while managers see everything. Most firms use a hybrid: shared pool for sourced candidates, individual assignment once a recruiter owns a search. Role-based permissions are configured during onboarding and can be adjusted afterward.
What does implementation look like for a team of 8 recruiters?+
A team of 8 is a typical Team Platform or Team Scale implementation. Expect: a leadership kickoff call (Days 1–3), platform build to your specifications (Days 3–7), a recruiter training session and a manager training session (Week 2), and a go-live on one live search as a pilot (Weeks 2–3). The full team is typically operational within 14–21 days. We record all training for onboarding future hires.
Can we white-label the platform for our agency brand?+
Yes — white-labeling is available on Team Dominate. Your agency name, logo, colors, and domain replace all Recruiter Machine branding on the client-facing portal, candidate communications, and system emails. Recruiters and managers use the platform normally; your clients see your brand throughout.
We use Salesforce (or HubSpot / Workday). Does this integrate?+
Yes, on Team Scale and above. Native integrations for Salesforce, HubSpot, and Workday are available. Team Dominate also supports custom integrations (3 per year) for proprietary or less common systems. API access (25K calls/day on Scale; 100K on Dominate) allows engineering teams to build custom connectors for any system.
What happens to our data if we cancel or switch plans?+
Your organization’s candidate data, job history, communication logs, and analytics belong to you. Upon cancellation, you have 30 days to export all data in standard formats. Nothing is deleted automatically. Recruiter Machine does not sell, share, or use your recruiting data for any purpose outside of operating your account.
Is there a minimum contract length?+
Team plans are available on month-to-month, annual, and 2-year terms. Month-to-month has no minimum commitment and can be cancelled at the end of any billing period. Annual plans are price-locked for 12 months with a 2-month-free discount. 2-year plans lock the price for 24 months and receive 4 months free. Early termination fees apply to annual and multi-year contracts. Full terms are available at recruitermachine.com/agreements.
How do recruiter scorecards actually work?+
Scorecards are automatically populated by system activity — there is no manual entry. Each recruiter’s show rate (interviews held vs scheduled), contact rate, time-to-offer, offer acceptance rate, and 30/60/90-day retention rate are tracked continuously. Managers see a team-level view comparing all recruiters side by side. Individual recruiters can see their own scorecard but not their teammates’.
We have multiple office locations. Can each location have its own pipeline?+
Yes. Multi-office support on Team Scale and Dominate allows per-location pipeline configuration with location-based access control — recruiters in one office see only their candidates, while regional managers and leadership see across all locations. Centralized reporting aggregates data from every location into a single executive view.
Can we start on Team Platform and upgrade to Scale later?+
Yes. Upgrades between team tiers are seamless — your data, pipelines, configurations, and candidate history move with you automatically. There is no migration, no rebuild, and no downtime.
